First-time
Freshman
The
freshman and sophomore students are assigned to the SOE Office of
Undergraduate Affairs and SOE Office of Student Development, located
in Steinman Hall, for academic advising and counseling until they
have completed their sophomore curriculum. When a student chooses
to enter the EE program, he/she has to file a “Major Card”
with the SOE Office of Undergraduate Affairs. The SOE Office of
Undergraduate Affairs establishes a permanent file, which is maintained
as long as one is a student in the EE program. The EE Department
assigns a faculty advisor who will advise the student until the
end of his/her study.

Re-admitted
Students
A student
is considered a re-admitted student if he/she was previously an
undergraduate student and withdrew from the City College. The SOE
Office of Undergraduate Affairs processes all applications for readmission.
A student will be re-admitted to the college and program with which
he/she was affiliated before withdrawing. If one were in the EE
program before withdrawal, he/she will be assigned automatically
to a regular academic advisor, or if necessary to EE Higher Education
Officer, Mr. E. Golovatch. If one was in some other program, and
has been readmitted to that program, then the guidelines for students
transferring in from another program within the City College will
apply to the student.

Schedule
and Registration
General
principles of academic advising are described in the City College
Undergraduate Bulletin 2001–2003, page 250. At the beginning
of each semester, the EE Department generates a tentative schedule
of EE classes for the next semester. After being approved by the
EE Department Chair, the tentative schedule is sent to the CCNY
Registrar’s office for approval and publication in the CCNY
Schedule of Classes. The schedule can also be found on the City
College web-site: www.ccny.cuny.edu. When the CCNY Schedule of Classes
becomes officially available, the EE Department posts its own schedule
of classes which gives EE students additional information on times,
locations, and instructors of all EE classes. In addition, the EE
Department prepares a Day-By-Day Schedule of Classes, which is the
same EE Schedule of Classes but in a different layout. It allows
EE students to see a layout of classes throughout each day of the
week and makes it easier for them to plan their schedules. Each
semester the EE Department also updates and posts the List of EE
Academic Advisors and a new list of EE Temporary Advisors and a
schedule of their hours for walk-in registration. At the same time
the SOE Office of Undergraduate Affairs reviews and publishes the
EE Undergraduate Curriculum and SOE Academic Policy for the coming
semester. All these documents are available before the beginning
of the advisement period.
Shortly
after the CCNY Schedule of Classes is officially published, the
CCNY Registrar’s Office sends an official notification to
each EE student with detailed instructions on how and when this
particular student can register for the next semester. When a student
receives the Registrar’s notification he/she has to see his/her
EE Academic Advisor. The Advisor screens the student’s transcript
through the SIMS system and interviews the student about his/her
academic progress, plans, and goals. Using all documents listed
above, the Advisor recommends classes to be taken in the next semester.
The student should fill out the Registration Form and the Advisor
should sign it. When the time for this student comes to register,
he/she can register for the classes recommended using CCNY automated
registration system via Internet or telephone.
Those
students who cannot register during the time allocated for internet/telephone
registration should do so at the time of walk-in registration. The
timetable for walk-in registration is given in the CCNY Schedule
of Classes. The Schedule of Office Hours for EE Temporary Advisors
is posted at the EE Department before the walk-in registration begins.
The walk-in advisement and registration procedure is similar to
the regular one. However, instead of seeing his/her regular academic
advisor the student should seek advice from an EE Temporary Advisor
and see the EE Higher Education Officer to be registered on premises.
The SOE Office of Undergraduate Affairs keeps one copy of the registration
form.

Pre-
and Co-Requisite Check
At the
beginning of each semester, the EE Department performs a Requisite
Check. The purpose of this check is to ensure that EE students properly
follow the EE Curriculum observing class requisites and taking classes
in the correct sequence. The HEO assigned to the Department looks
through the rosters of all EE student registrations. If a student
did not satisfy a pre or co-requisite, then he/she should see the
EE Department Chair and petition to remain in the class. Having
received consent of the class instructor, the EE Department Chair
can only grant permission in the following cases: a) if a student
is a last semester senior student who is ready to graduate in the
current semester or b) if the violation occurred due to a EE Curriculum
or SOE Academic Policy fault. One copy of the approved petition
is kept on file in the SOE Office of Undergraduate Affairs. The
other copy is for student’s records. If a student cannot be
allowed to stay in the class, the SOE Office of Undergraduate Affairs
releases a letter of notification advising the student about his/her
withdrawal from the class. At the same time the SOE Office of Undergraduate
Affairs sends an official letter to the CCNY Office of the Registrar
with the request to withdraw this particular student from the class
with a “W” grade. No refund is made for the student.
Data on pre- and co-requisite check results is collected and analyzed
by the HEO (Mr. E. Golovatch) each semester. Results of the analysis
are submitted to the EE Department Chair and Associate Dean of Undergraduate
Affairs for further actions.

Adding
and Dropping Courses
The
CCNY Undergraduate Bulletin, provides information on how to make
changes to a student’s program. The other document that governs
the process of changing a student’s program is the Academic
Schedule, which is published each semester in the CCNY Schedule
of Classes and on the CCNY web site.
